Inviting team members

2 min read

Everyone at your firm signs in as themselves — admin staff never use the agent's login. Your plan includes one registered migration agent (or lawyer). Admin and support staff are free and unlimited; each additional registered agent — anyone you add as an RMA/Lawyer, or an admin who saves their own MARN or LPN — is a paid seat at your plan's price ($99/mo on Pro Monthly).

1. Open the Team tab

In the sidebar → Settings → Team. You'll see your current firm members.

2. Add a team member

  1. Click + Add User (admins only).
  2. Enter their name, email address and a temporary password.
  3. Pick a role: Clerk, Case Manager, RMA/Lawyer or Admin.
  4. Click Create User. They're emailed their sign-in details — never the password, so give them that yourself — and set their own password once they've signed in.

What each role is for

  • Clerk — support staff, and the default. Free. Billing and trust money stay hidden unless you tick Financials for them, and even then a clerk can look but not raise invoices or record payments.
  • Case Manager — runs matters day to day, with the same workflow as a registered agent, without being one. Free.
  • RMA/Lawyer — another registered agent or lawyer joining the team, and a paid seat beyond the one your plan includes. If you are the firm's only agent and also its admin, you don't need it — add your MARN (or LPN) under Settings → Profile.
  • Admin — manages the team, permissions and firm settings, and sees every matter. The role is free; an admin who is also a registered practitioner counts as one of your registered agents.

3. Fine-tune what each person sees

Next to each user, Financials shows or hides billing, invoices, trust money and revenue reports — clerks start with it off, everyone else with it on. All matters lets them open every matter in the firm rather than only the ones they work on and unassigned ones (just their own, if your firm restricts matter access). Admins always see every matter, and the account owner always has full access, money included.

Separate sign-ins keep your Activity record accurate — every action shows who took it — and give each person their own two-factor authentication. Access limits are enforced on the server as well as on screen, so they can't be bypassed.
